Introduction

In response to COVID-19, the implementation of enhanced measures will provide our audience with the assurance and confidence that our events have health and safety as our number one priority.

Below, we have summarised the best practice guide for organising and delivering trade shows and exhibitions of all sizes, in all locations ensuring the health and safety of attendees.

This outlines the framework we are researching and working to. Our specific plans and actions for UDT 2020 will be communicated in due course by the show team.

The 'ALL SECURE STANDARD' framework

In collaboration with other global event organisers, Clarion Events, one of the world’s largest events businesses, has drafted a programme of enhanced safety measures to reduce the risk caused by COVID-19. The ‘All Secure Standard’ will allow us to demonstrate that we are focused on being able to hold and make our events safe in this new era. Measures are broken down into four key areas outlined below.

1) Physical Distancing

Physical DistancingMeasures include:

  • Controlled crowd density
  • Eliminating handshakes
  • Staggered admission
  • Enhanced visitor quality
  • Logical visitor flow
  • Revised seating arrangements
  • Pre-packaged food and beverages
  • Contactless registration

2) Cleaning & Hygiene Countermeasures

  • Ambient environmental controls

Next Steps

The ALL SECURE STANDARD will factor in any new elements or changes to government guidelines and we will look to come up with a series of checklists and information sheets for participants.

The first of these will outline what we, as the organisers, will be implementing in conjunction with the venue and our contractors. The additional checklists will then be produced for each of our audience groups outlining what we need you to do – whether it’s as a delegate needing to bring a facemask to wear at all times or an exhibitor adapting your stand design to incorporate physical distancing and the correct cleaning protocols. These will be circulated to you as soon as the details are finalised so you can incorporate all elements into your event plans.

We will be closely monitoring the international travel situation, and will ensure that we provide a regular update on travel arrangements to and from the Netherlands as and when we receive it. What we know currently is that Europe is expected to open up for the tourist season in the summer, and that air travel continues to pick up between most European and many international destinations. We will aim to share as much travel information as we can but also ask that you keep abreast of your individual country's advisories and guidelines.
